RESPONSIBILITIES:

The Administrative Assistant provides personal assistance to students regarding Business Office, Financial Aid, and Technology functions in a manner that promotes positive relationships between the students and Wayland Baptist University; obtains information from all relevant sources and serves as an ombudsman on school policies for students in matters relating to the business, financial aid, and registrar offices.  This person also assists with graduations and off-campus recruiting.

SPECIFIC TASKS
AND DUTIES:

1.  Treat students in a friendly, professional manner.

2.  Provide counsel to students concerning financial aid options and commitments.

3.  Communicate financial responsibilities to students in a manner that promotes students understanding and acceptance of financial responsibility.

4.  Accept and process payments, work with students on aging reports, and process deposits.

5.  Review accounts receivable, billing, and collections in consultation with the Executive Director/Campus Dean.

6.  Process all direct-bill and military tuition assistance.

7. Input and update student account data and maintain accurate records.

8.  Build term data in computer system in consultation with the Executive Director/Campus Dean and the office manager.

9.  Maintain the local campus web page in conjunction with the WBU web manager.

10.  Provide assistance to the faculty as directed by the Executive Director/Campus Dean or office manager.

11.  Update computer lab and serve as main campus IT department liaison with Amarillo campus.

12.  Work with Executive Director/Campus Dean to establish an off-campus recruiting presence with local businesses.

13.  Provide photographer services at graduation ceremonies.

14.  Perform initial collection duties on delinquent student accounts.

15.  Provide back-up reception duties (answering phone, handling walk-ins, etc.).

16.  Assist the Executive Director/Campus Dean and back up the Office Staff to meet the needs of the Amarillo Campus.

QUALIFICATIONS: A commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.
Education, Certification and Licence:

1.  High School Diploma required.

2. Bachelor Degree preferred.

Experience & Knowledge:

1.  Business experience in accounting preferred.

2. Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, proper business letter formats, envelope addressing, and other office procedures and terminology.

3.  Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

4. Knowledge of academic degree plans and requirements.

5. Some experience working with networks and/or Microsoft-based computers preferred.

6.   Experience with or ability to learn basic web page management skills using appropriate software.

Must have no delinquent or defaulted items on Credit Report.  A credit check will be conducted to insure the requirement is met.
