Assistant Executive Director/Campus Dean


The Undergraduate Financial Aid Advisor oversees the creation, maintenance and security of all undergraduate files.  This position also oversees the many aspects of the registration process.


1.  Provide excellent internal and external customer service to all individuals either calls or visiting of campus.

2.  Answer and transfer all calls in a professional manner.

3.  Assist with proctoring exams (Student, CLEP/DSST, PearsonVue)

4.  Creates, maintains and secures all undergraduate files and adheres to WBU policies regarding privacy and release of sensitive information.

5.  Advise all students of financial aid programs.

6.  Process all financial aid and Veteran’s affair certifications of enrollments/withdrawals.

7.  Log all incoming official academic transcripts.

8.  Track all orientation documents to ensure registration.

9.  Track, records and follows up on academic holds.

10.  Input enrollments and withdrawals to create an analysis.

11.  Assist Academic Advisors with preliminary degree plans’ paperwork and its completion deadline.

12.  Attend public relations events and graduation.

13.  Correspond with the External Records and Registrar’s Offices at the Plainview Campus.  

14.  Faxes materials as required and with the policies regarding privacy and confidentiality.

15. Sorts or classifies information, according to content, purpose, user criteria or chronological alphabetical or numerical order.

16.  Places materials into storage receptacles, such as file cabinets, boxes bins, or drawer according to classification and identification information.

QUALIFICATIONS: A commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.
Education, Certification and Licence:

1.  Bachelor Degree is preferred.

2.  Associate Degree is required.

Experience & Knowledge:

1.  Two (2) years general office experience.

2.  Excellent customer service.

3.  Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, proper business letter formats, envelope addressing and other office procedures and terminology.

Skills & Abilities:

1.  Experience in Microsoft applications such as Word, Excel and Access Database.

2.  Good verbal and written communication skills.

3.  Ability to listen to and understand information and ideas presented verbally and in writing.

Additional Requirements:

Must have no delinquent or defaulted items on Credit Report.  A credit check will be conducted to insure the requirement is met.
