Coordinator of Career, Counseling, & Disabilities Services, Coordinator of Student Health Services, Coordinator of Tutorial Services, and Executive Director of Student Development and Dean of Students


The Secretary of Counseling, Health, & Tutorial Services provides secretarial duties for of Counseling, Health, and Tutorial Services as well as assist in coordinating the activities of this area.


1. Greet and register individuals when they come into the health and counseling units.

2. Handle incoming telephone calls in an efficient and courteous manner.

3.   Assist with tutoring activities as assigned.

4. Maintain current medical files for students and incidental records for faculty and staff using Health Services.

5.  Maintain typed reports of monthly health clinic records.

6.  Organize, type and file correspondence, newsletters, and any other tasks that are assigned.

7.  Assist in taking health service inventory and ordering supplies.

8.   Assist in maintaining an upbeat office atmosphere that will make students, faculty and staff feel welcome.

9.  Participate in training as needed for HIPAA and/or other compliance issues.

QUALIFICATIONS: A commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.
Education, Certification and Licence:

1.  High School Diploma or GED is required.

2.  Post-secondary training in office systems and management.

Experience & Knowledge:

1.  One (1) year of experience in an office management related position is required.

2.  Two (2) or more years of office management related experience is preferred.

Skills & Abilities:

1.  Must have the ability to perform multiple tasks, which include, but are not limited to answering the phone, taking messages, fulfilling clients request for information, monitoring office supplies, occasionally covering for other offices, and meeting the public, which must be accomplished while maintaining a pleasant and serving attitude.

2.  Must be familiar with Windows 7 Professional, Office 2010 including Publisher, Excel, and Microsoft Word, as well as working knowledge of the internet and social networks.

2.  Applicant will have frequent and sometimes continuous contact with University students and therefore must be comfortable working in this type of environment.  The bulk of our service is to these students.

Additional Requirements:

Must have no delinquent or defaulted items on Credit Report.  A credit check will be conducted to insure the requirement is met.
