RESPONSIBILITIES:

The Coordinator of Student Records and Finance will oversee the duties of maintaining students’ records, registrations, and campus’ account receivables. The Coordinator of Records and Registration oversees the creation, maintenance, and security of all undergraduate files and the registration process. In addition, this position oversees the processing of student payments, third party tuition assistance programs, and assisting students with financial related questions, including federal financial aid and VA benefits.

SPECIFIC TASKS
AND DUTIES:

Coordinator of Records and Registration

1.  Create, maintain and secure all undergraduate files and adhere to WBU policies regarding privacy and release of private information. This includes updating personal information, categorizing and labeling files, and following up on missing or incomplete data, keeping files current, and appropriately storing non-current student files.

2.  Create and maintain enrollment sections for registrations.

3.  Coordinate registration, build necessary registration reports for military education offices, and enforce registration-related WBU policies and rules governing students.

4.  Track and follow up on academic holds.

5.  Create and maintain block lists.

6.  Process enrollments, drops, and withdraws.

7.  Assist with classroom assignments based on term course schedule.

8.  Charge academic fees.

9.  Correspond with External Records and Registrar’s Office at the Plainview Campus.

10.  Sort and forward inter-office mail to outer offices.

11.  Train academic advisors on WBU policies and procedures pertaining to admissions paperwork, registration, drops and withdraws, and other related tasks.

 

Finance Office

1.  Create, maintain, and secure all appropriate financial paperwork.

2.  Assist with registration by providing students financial related information to advisors and registrar.

3.  Collect, verify, and invoice military tuition assistance vouchers. Making sure that once invoiced, the appropriate credit is applied to the student’s account.

4.  Collect and post student payments to student accounts, generating payment batch reports.

5.  Assistant in maintaining and updating the Aging Report by offering financial information from student payments or military tuition assistance vouchers.

6.  Training and enforcing WBU policies and procedures regarding payment plans, payment collections, and student financial requirements.

QUALIFICATIONS:  
Education, Certification and Licence:

1.  Bachelor Degree required.

2. Master Degree preferred.

Experience & Knowledge:

1.  Two (2) years general office experience with one (1) year of related job experience is required.

2.  Excellent customer service.

3.  Knowledge of administrative and clerical procedures and systems, as well as word processing, managing files and records, designing forms and reports, proper business letter formatting, envelope addressing and other office procedures and terminology.

4. Knowledge of financial aid policies and procedures is preferred.

Skills & Abilities:

1.  Experience with Microsoft applications, such as Word, Excel, and Access.

2.  Good verbal and written communication skills.

3.  Ability to listen to and understand information, ideas presented verbally and in writing.

4.  Ability to analyze mathematical calculations accurately.

5.  Efficient time management skills.

6.  Desire to continually learn and increase job-related skills and knowledge. Including a desire to perform tasks with integrity, increased efficiency, and within the guidelines of WBU’s Christian outlook and focus.

7.  Ability to train and delegate specific tasks to others employees as needed in order to ensure timely processing of paperwork and account maintenance.

Additional Requirements:

Must have no delinquent or defaulted items on Credit Report.  A credit check will be conducted to insure the requirement is met.
