RESPONSIBILITIES:

The Office Assistant is responsible for processing applications, assisting in organizing and maintaining effective office procedures, providing information to prospects, and generally representing the Admissions Office to all of the University's public in a positive manner.

SPECIFIC TASKS
AND DUTIES:

1.  Adheres to guidelines in the University Policy and Procedures Manual (www.wbu.edu – Employee Site)

2.  Adheres to guidelines in the Admissions Office Staff Standards (Provided by Director of Admissions)

3.  Helps plan and organize office processes in such a way as to ensure a clean, orderly, productive, professional, and pleasant environment for internal and external customers and Admissions staff

4.  Maintains constant communication with recruiters, office staff, the Director, external staff, and internal staff to ensure efficiency in all activities relevant to the Admissions process

5. Assists in the preparation and completion of external applicant files as assigned

6. Answers phones in the multi-line system, responding to the questions of prospective students,        applicants, professors, administrators, and members of the larger Wayland community.  Addresses        concerns or forwards phone calls to appropriate personnel in an effort to completely address the        concerns of the callers.     

7. Assists in monitoring student workers assigned to work with the Admissions Office staff. 

8.   Assists in the planning and coordination of prospective student events such as Gold Rush and Big Weekend Preview through partnership with other administrative departments, communication with  prospective students and their families, and execution of weekend events 

9.  Assists with and attends all early registration events and preview events

QUALIFICATIONS: A commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.
Education, Certification and Licence:

1.  High School Diploma or GED required.

2.  Some college work preferred.

Experience & Knowledge:

1.  Two years of proven office setting experience.

2.  Two years of proven customer service experience.

3.  Two years of proven computer experience.

Skills & Abilities:

1.  A commitment to Christian Higher Education and in agreement with the purposes and philosophy of Christian Higher Education as promoted by the Baptist General Convention of Texas generally, and Wayland Baptist University particularly.

2.  Ability to be a positive force and role model in the office by portraying a positive attitude toward other office personnel, in phone conversation and in students, family, faculty and staff members

3.  Punctuality, dependability, integrity, honesty and loyalty in the performance of duties of the position.

4.  Outstanding planning, organizational, and problem-solving skills as well as meticulous attention to detail.5.   Ability to multi-task.

6.   Ability to work with multiple software platforms to include MS Office and an SQL based database.

7.   Strong initiative and ability to work independently toward Admissions goals as well as ability to accept direction and correction on work.

8.   Ability to work collectively with the administrative and recruitment team associates.

9.  Outstanding interpersonal skills.

10.  Strong customer service skills.  

11.  Ability to learn and retain vast amounts of information from a wide variety of sources

12.  Tolerance for procedural changes that enhance productivity and customer service

13.  Ability to lift 25 lbs.

Additional Requirements:

Must have no delinquent or defaulted items on Credit Report.  A credit check will be conducted to insure the requirement is met.
