RESPONSIBILITIES:

The Secretary/Data Entry Clerk position is responsible and accountable to the director of BAS/BCM Office in all departmental operations.  This position is responsible for representing Wayland Baptist University to all students, staff and faculty in a manner which is in keeping with the mission and vision of the institution.

SPECIFIC TASKS
AND DUTIES:

1.  Acts with integrity in all matters and exhibits behavior that reflects the highest ethical and professional standards

2.  Completes all aspects of job in accordance with pertinent deadlines

3.  Via ImageNow, processes student applications for admission preparing the file to be sent to admissions committee for permitting

4.  Once permitted, processes the permit and communicates appropriately with respective external campus

5.  Prepares old files to be scanned into ImageNow and processes them appropriately once scanned

6.  Effectively works ImageNow queues, including linking and routing of official documents entered into ImageNow by external campus staff

7.  In conjunction with the external campuses, builds official graduation list(s) for respective campus(es) and disseminates appropriately

8.  Orders regalia for external campus graduation ceremonies

9.  Effectively communicates daily with external campus staff via email and phone

10.  Responds to directives of the director of BAS/BCM Office

11.  Maintains and updates quarterly census reports

QUALIFICATIONS: A commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.
Education, Certification and Licence: Some college-level work preferred but not required
Experience & Knowledge: Minimum of one (1) year office and computer experience
Skills & Abilities:

1.  Outstanding communication skills, both written and oral

2.  Meticulous attention to detail

3.  Excellent organizational skills

4.  Computer proficiency

5.  The ability to deal fairly, diplomatically and within the confines of FERPA regulations with students and their family members, faculty and staff in the university system

6.  Punctuality, dependability, integrity, honesty and loyalty in the performance of duties in the position

7.  A commitment to Christian Higher Education and agreement with the purposes and philosophy of Christian Higher Education as promoted by the Baptist General Convention of Texas generally, and Wayland Baptist University particularly

8.  A positive force in the office portraying a positive attitude toward other office personnel in phone conversations and in greeting executive directors, students, deans, faculty, and staff members

9.  A written statement reflecting personal faith in Jesus Christ, church affiliation and involvement is required

Additional Requirements:

Must have no delinquent or defaulted Student Loans.  A credit check may be conducted to insure the requirement is met.
